  1. Let’s have a dialogue around the tables — generated by

Stable Diffusion “Workshop to Create Next Year’s WBS Together” Orientation 2022 Fall Waseda Business School (WBS) DX Committee Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.1/25
  2. The slides you see now can be found at :

https://speakerdeck.com/ks91 Exact URL will be posted at the Zoom chat Also, the PDF file may have been posted at WBS-All Slack Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.2/25
  3. World Café to Create Next Year’s WBS Together Here is

the question : How do we double the number of international applicants for WBS for the next year, and How do we do that by applying what we have learned in the COVID-19 pandemic? Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.3/25
  4. What We’re Going To Do Is Like Brainstorming The primary

goal of this workshop is to build a collaborative manner and attitude Better to come up with a lot of ideas Especially at the beginning, don’t be afraid of divergence Speak freely Take everything positively Let’s check in on the theme What would doubling the number of international applicants for WBS for the next year mean to you and our learning community? What does it mean to apply what we have learned in the COVID-19 pandemic? Let’s think for a minute Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.4/25
  5. Let’s do “World Café” Who has done it before? Workshop

    to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.5/25
  6. What’s World Caf´ e? It’s a way for people to

have “dialogue” on a topic Not “discussion” or “debate” What’s the difference between “debate” and “dialogue”? For the same action or behavior A, “You lose if you A” vs. “You waste your time if you don’t A” What’s A? Which is “debate”, and which is “dialogue”? Some cases involved 1,000 people in one “dialogue” I’ve facilitated ones with 500 undergraduate students several times I am still developing and experimenting with ways to implement it online It’s always fun to experiment and make challenges World Café is easy, so please try it again yourselves sometime somewhere There is a reference at the end of the slides Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.6/25
  7. How To Do World Caf´ e (1) 1. A small

group of people (4 or 5) surround “table” (this time Zoom breakout room) (hereafter, the words “table” and “room” are used interchangeably) And talk about one theme (about 20∼30 minutes) We call this “round” We can write and draw anything on paper (this time miro whiteboard) Colorfully (use your favorite colors) While eating sweets, if you would like (You may have tried with your self-introduction, but) What can you do with a miro board? Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.7/25
  8. miro - Online Whiteboard Example : Mind Map (probably you

would use this primarily today) Place a key word or image of the concept you want to explore at the center, and expand and connect the key words and images radially from there to develop thoughts using imagination and association Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.8/25
  9. Direct messages on Slack May Also be Useful 'JSTU DMJDLIFSF

"TLGPSUIFOBNFBOETUBSUXSJUFJUEPXOIFSF UPCFDPNQMFNFOUFE If one of you do this, you can start a conversation Problem with speaking is that there is only one channel Can’t talk at the same time and hard to interrupt! Using a chat room, you don’t have to hesitate Zoom chat is OK, but Slack’s Direct message can also be used by multiple people, and it’s easier to keep record Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.9/25
  10. How To Do World Caf´ e (1) 1. A small

group of people (4 or 5) surround “table” (this time Zoom breakout room) (hereafter, the words “table” and “room” are used interchangeably) And talk about one theme (about 20∼30 minutes) We call this “round” We can write and draw anything on paper (this time miro whiteboard) Colorfully (use your favorite colors) While eating sweets, if you would like Don’t erase whatever you wrote or drew, and keep them as a part of the dialogue process The board can be used very widely! Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.10/25
  11. How To Do World Caf´ e (2) 2. After a

round, leave one member on the table as “host”, And the rest are “travelers” who move to another table To start the next round Host is not MC or leader Nobody leads you to anything A table is a “safe place” where it is free to say anything on an equal footing At the next table, try to gather with people you have never spoken before At least try not to be with people from the previous table This time, we’ll make sure about it with a few simple rules Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.11/25
  12. How To Do World Caf´ e (3) 3. At the

beginning of the new round, “Host” will introduce what was said in the previous round, And the “travelers” will also introduce what was said at their own previous tables Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.12/25
  13. How To Do World Caf´ e (4) 4. By doing

this over and over again, We will “pollinate” tables with ideas from different tables While we’re all talking about one big theme In today’s World Café, everyone will return to the first table in the 3rd round Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.13/25
  14. World Caf´ e Etiquette Please pay attention to these :

Focus on the “question for each round” Express youself positively Short, succinct talk (you can talk as many times as you want, but try to be concise every time) Listen to other people Put your ideas together Write or draw with a playful mind The end of the round is non-destructive (graceful stop) This time, when a round ends, you will have 60 seconds before the room closes If you’re in the middle of saying something, do finish it (In a physical world café, the facilitator would start clapping, and everyone claps to end the round, for example) Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.14/25
  15. Let’s Get Started Keep your desktop organized You only use

Zoom, miro, and Slack And of course, do your research on the web (use your external memory!) Please write your notes in miro or Slack and share them in the room miro is better because everyone will be able to see the notes Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.15/25
  16. Theme and Host Theme : How do we double the

number of international applicants for WBS for the next year, and How do we do that by applying what we have learned in the COVID-19 pandemic? Identify “host” (a person who stays at the table) when you breakout “Host” is not MC or leader (everyone is equal) Hosts also have opportunities to learn from other tables (as travelers come and go) The host is number 0 The other members should be numbered 1∼5 (the order has no meaning) After deciding on the number, change your name to something like “Pat Smith 3” Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.16/25
  17. Extra Ice-breaking Activity (for Round 1 & 2) At Round

1 & 2, in the first 3 minutes after brief self-introductions, Try “counting up to 20” Sounds easy? Here are some rules : One says only one number at a time (can say the next number after a while) There is no order as to who says which number (do not create an order) If you hear the same number from more than one person, you would all smile and say, "Again!" and restart from 1 Let’s do this among faculty and staff to see if everyone understood the rules The goal, actually, is to fail If you could count up to 20, that’s fine! (But that’s not the point) Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.17/25
  18. Round 1 (25 min.) This is a round to think

about characteristics of a business school First, briefly introduce yourselves (prepare a direct message in Slack) “Counting up to 20” for 3 minutes Decide on the host (number 0) and numbers for the travelers Put the number in your Zoom names Then talk, write or draw as you think about the question for the round Use the board corresponding to the room number listed on the sheet linked in Zoom Question for this round : What do applicants look for in a business school when they apply? What did you look for? Focus on question / Proactively talk about your thoughts / Talk short and simple / Listen to others / Connect ideas / Write or draw more and more Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.18/25
  19. “Travelers”, move to another table When the breakout rooms open,

move as you are told, and then Go to the room whose number is the sum of the room number and your number If you are a traveler, mouse over the blue number of participants on the list of rooms, and click “Join” or whatever If you are the host, stay in the room Note that room n (announced on the day) is followed by room 1 (wraps around) If the sum exceeds n, subtract n to get your new room number This should mean you won’t be sitting with the people in the first room Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.19/25
  20. Round 2 (25 min.) Please share thoughts from the previous

round in the first 8 min. or so First, briefly introduce yourselves (prepare a direct message in Slack) “Counting up to 20” for 3 minutes Everyone tells what happened at the previous table It is OK if you just tell the most impressive part Question for this round : What are your experiences with the COVID-19 pandemic? How can you use knowledge gained inductively from the experiences to attract international students to WBS? Focus on question / Proactively talk about your thoughts / Talk short and simple / Listen to others / Connect ideas / Write or draw more and more Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.20/25
  21. Extra Ice-breaking Activity (for Round 3) At Round 3, in

the first 3 minutes, Try “One Word” Decide the order in which who speaks first, second, third, and so on The title of the story is given Then you tell a story, with each of you saying only one word at a time When the last person finishes speaking, return to the first person If someone fails to say a word, you would all smile and say, “Again!” and then that person would start another story (with the same title) with a word Let’s do this among faculty and staff to see if everyone understood what to do Title of the story is “Professor’s Hidden Hobby” Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.21/25
  22. “Travelers”, move back When the breakout rooms open, move as

you are told, and then Go to the first room you were in for this workshop Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.22/25
  23. Round 3 (25 min.) Please share thoughts from the previous

round in the first 8 min. or so “One Word” for 3 minutes Title of the story is “And So the Number of International Applicants Doubled for WBS” Everyone tells what happened at the previous table It is OK if you just tell the most impressive part Question for this round : What is your core idea for doubling the number of international applicants? How can people get involved in its implementation? How do you motivate and organize people? MOI (Motivation, Organization, Idea) model for making any social changes (by G.M. Weinberg) Focus on question / Proactively talk about your thoughts / Talk short and simple / Listen to others / Connect ideas / Write or draw more and more Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.23/25
  24. Summary Round (10 min.) Once again, breakout to the first

room (your room for the 1st and 3rd rounds) Write your “take-out” in the empty space on the board Please write “take-out” as a marker Whether it’s what you get, or it’s homework for yourselves After the round, let’s listen to some of the take-outs to share Workshop to Create Next Year’s WBS Together — Orientation — 2022-09-27 – p.24/25
